Depending on how you interact with Royal Design Marbella, we may collect:

  • Project location, project type, requirements, stage and estimated timescale.
  • Plans, drawings, photographs, reference images and other files submitted voluntarily.
  • Information contained in emails, calls, WhatsApp messages or social media communications.

  • Campaign information collected through URL parameters, including source, medium, campaign and advertising content.
  • Any other information you voluntarily provide when contacting us.

Please do not submit unnecessary sensitive information or personal data relating to another person unless you are authorised to provide it.

Responding to enquiries

We process contact and project information to respond to questions, project enquiries and requests received through the website, email, telephone, WhatsApp or social media. The legal basis is taking steps at your request before entering into a contract and our legitimate interest in responding to communications addressed to the company.

We may review project requirements, request additional information, assess technical feasibility and prepare estimates or proposals. The legal basis is taking pre-contractual steps at your request.

Managing projects and client relationships

Where a commercial relationship is established, information may be processed to coordinate services, manage documentation, communicate with the parties involved and fulfil contractual and legal obligations.

Coordination with manufacturers and partners

Where necessary, relevant project information may be shared with manufacturers, suppliers, technical consultants, installers or other project partners to assess feasibility, obtain technical information or prepare a proposal.

Only information reasonably necessary for the relevant assessment or project will be shared.

Website measurement

Subject to your cookie preferences, we may use analytics and advertising technologies to understand website usage, measure campaign performance and improve our website. The legal basis for non-essential analytics and advertising technologies is your consent.

Commercial communications

Information submitted through our project and contact forms is not currently used to send general newsletters or recurring promotional communications.

Access is limited to authorised members of Royal Design Marbella involved in commercial enquiries, project assessment, administration, management or coordination.

Where necessary, information may also be accessed by:

  • Manufacturers, suppliers, installers, technical consultants and other partners involved in assessing or delivering a project.

Depending on the circumstances, these recipients may act as service providers processing information on our behalf or under their own legal responsibilities.

Where an international transfer takes place, we will seek to ensure that an appropriate legal safeguard is available, such as an adequacy decision, approved contractual clauses or another mechanism recognised by applicable data-protection law.

How long we retain information

Personal data is retained only for as long as reasonably necessary for the purpose for which it was collected.

  • Enquiries that do not result in a project may remain in our commercial database for up to 24 months after the last meaningful interaction.
  • Where there is a documented active opportunity or a reasonable expectation of a future project, the information may be retained while that relationship remains active. Its continued necessity will be reviewed at least annually.
  • Plans, images and project files associated with a definitively discarded enquiry will be deleted when they are no longer required and, in any event, within 12 months of closing the enquiry.
  • Information relating to active clients and projects will be retained for the duration of the relationship and afterwards for the applicable statutory limitation periods.
  • Cookie and analytics information will be retained according to the periods described in the Cookie Policy and the relevant consent-management tools.

Information may be retained for longer where required by law or where necessary for the establishment, exercise or defence of legal claims. Information that is no longer required will be deleted or anonymised.

WhatsApp and social media

If you contact Royal Design Marbella through WhatsApp Business or a social media platform, your information will also be processed according to that platform’s own privacy terms.

We recommend avoiding unnecessary confidential information through these channels. Detailed plans and project documents may be moved to a more appropriate communication or storage channel when necessary.
